Rate My Visa Letter ("we", "us", "our") is committed to protecting your privacy. This notice explains what personal data we collect, why we collect it, and what rights you have, in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Who we are

Rate My Visa Letter provides an online tool that reviews and scores visa support letters. For any data protection queries, you can contact us at askingforhelp_26@outlook.com.

What data we collect

• The visa letter or document text you submit for review, which is sent to Anthropic's Claude AI model to generate your score and feedback.
• Your email address, if you choose to provide one to receive your results or sign up to our newsletter.
• Feedback or messages you send us through the site.
• Limited technical data such as your IP address, browser type and device information, collected automatically via cookies (see our Cookies Policy).

Why we use your data

• To generate and deliver your visa letter review and score — this involves processing the letter text you submit using Anthropic's Claude AI model.
• To email you your results, where you've asked us to.
• To send product updates or marketing emails, but only if you've opted in — you can unsubscribe at any time.
• To respond to feedback, questions or support requests.
• To keep the service secure and to understand how it's used, so we can improve it.

Our legal basis for processing

We rely on: your consent (for marketing emails and non-essential cookies), our legitimate interests (to operate, secure and improve the service), and, where applicable, taking steps at your request before providing our service to you.

Sharing your data

We do not sell your personal data. We share data with the following categories of processor, who are required to keep it secure and only use it as we instruct:

• Anthropic (Claude AI) — the letter or document text you submit is sent to Anthropic's Claude AI model to analyse it and generate your score and feedback. Anthropic processes this data on our behalf as a data processor and does not use it to train its models. See Anthropic's Privacy Policy for details of how they handle data.
• Email delivery and website hosting providers who help us run the site and send you emails you've requested.

We may also disclose data where required by law.

How long we keep your data

We keep personal data only for as long as necessary for the purposes described above, or as required by law, and then delete or anonymise it.

International transfers

Some of our service providers, including Anthropic, may process data outside the UK (for example, in the United States). Where this happens, we ensure appropriate safeguards are in place, such as the UK's International Data Transfer Agreement or adequacy regulations.

Your rights

Under UK GDPR, you have the right to:

• Access the personal data we hold about you.
• Ask us to correct inaccurate data.
• Ask us to delete your data.
• Object to or restrict certain processing.
• Withdraw consent at any time (for example, by unsubscribing from marketing emails).
• Request a copy of your data in a portable format.

1. Who we are and what these Terms cover

These terms and conditions ("Terms") govern your use of Rate My Visa Letter (the "Service", "we", "us", "our"), an online tool that reviews and scores visa support letters and similar documents that you submit. By using the Service you agree to these Terms and to our Privacy Notice and Cookies Policy, which form part of this agreement. If you do not agree, please do not use the Service. We may update these Terms from time to time; the version in force at the time you use the Service will apply. For any questions, contact us at askingforhelp_26@outlook.com.

2. What the Service does — and does not do

Rate My Visa Letter analyses the letter or document text you paste in and gives you an automated score and written feedback intended to help you improve it. For the avoidance of doubt:

• We do not prepare, submit, lodge or file any visa, passport or immigration application or document with any embassy, consulate, government department or other issuing authority on your behalf.
• We do not act as your agent, representative or attorney, and nothing in these Terms grants us any power of attorney or authority to act on your behalf with any third party.
• We do not access, use or manage any government portal, account, or immigration case on your behalf.
• You remain solely responsible for preparing, checking, signing and submitting your own application and supporting documents, and for deciding whether and how to use our feedback.

3. Not legal or immigration advice

The Service provides general, automated feedback only. It is not legal advice, immigration advice, or a substitute for advice from a qualified immigration adviser or lawyer. We do not guarantee that a letter which scores well will result in a visa being granted, and issuing authorities alone decide whether to grant or refuse any application, based on their own criteria which can change without notice.

4. Use of artificial intelligence

Scores and feedback are generated using Anthropic's Claude AI model, which analyses the text you submit. AI-generated feedback can be incomplete, out of date, or contain mistakes, and should not be relied on as your only source of guidance. See our Privacy Notice for more on how your submitted text is processed.

5. Your content

You keep ownership of any letter or document text you submit. By submitting it, you confirm that you have the right to share it with us and grant us permission to process it (including sending it to our AI provider) solely to provide you with your review. Please do not submit documents containing other people's personal or sensitive data unless you have their permission to share it, and avoid including information you don't need to (such as passport or national ID numbers) where it isn't necessary for the review.

6. Fees

The Service is currently provided free of charge. If we introduce any paid features in future, we will clearly tell you the price and obtain your agreement before you are charged.

7. Acceptable use

You agree not to use the Service to submit unlawful, fraudulent, or harmful content, to attempt to disrupt or reverse-engineer the Service, or to misuse it in a way that could harm us or other users.

8. Intellectual property

The Service, its design, scoring methodology and content (excluding text you submit) belong to us or our licensors and are protected by copyright and other laws. You may not copy, reproduce or exploit them without our permission.

9. Limitation of liability

To the maximum extent permitted by law, we exclude all conditions and warranties not expressly stated in these Terms, and we are not liable for any loss or damage arising from: (a) the outcome of any visa, immigration or other application; (b) decisions made by any embassy, consulate or issuing authority; or (c) your reliance on AI-generated feedback. As the Service is provided free of charge, our total liability to you in connection with the Service is limited to £0. Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot lawfully be excluded or limited.

10. Third-party links

The Service may reference or link to third-party websites or services (including immigration authorities' own websites). We are not responsible for the content, accuracy or availability of any third-party site, and your use of them is subject to their own terms.

11. General

These Terms, together with our Privacy Notice and Cookies Policy, are the entire agreement between us relating to the Service. If any part of these Terms is found unenforceable, the rest will continue to apply. These Terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction over any dispute.
